Casual Payroll
Before you may sign up for ISERP's casual payroll, the faculty member, center, or program for which you will be working will need to notify us that you are being hired.
Signing Up for Casual Payroll
If you are already in Columbia's payroll system and have been paid at any point in the last 12 months, provide Jennifer Tromski with your Social Security Number and we will add you to our payroll once we have confirmed that you are in the system. You will also need to submit a Casual/Temporary Employment Form. Please note that Columbia's system for paying stipends is not the same as the payroll system.
If you are not already in Columbia's payroll system or have not worked in the past year, you will need to submit the following forms to Jennifer Tromski. Links are provided to each of the forms, and hard copies are available in Room 820 of ISERP's main offices.
- I-9 Employment Eligibility Verification
The Department of Homeland Security requires that the I-9 be completed within three (3) days of beginning work. In accordance with the instructions on page three (3) of the form, you must also present acceptable documentation of your identity and employment eligibility, in person, in the same time frame. We ask that you come to our office to complete this form. If you are a student with an F-1 or J-1 visa, your I-9 must be certified by the International Students and Scholars Office prior to submitting it. They will require your passport and visa. - W-4 Employee's Withholding Allowance Certificate
For additional information, visit the Internal Revenue Service and particularly the Frequently Asked Questions. - IT-2104 Employee’s Withholding Allowance Certificate
For additional information, visit the New York State Department of Taxation and Finance and particularly the Individual Taxpayer Answer Center. - IT-2104-E Certificate of Exemption from Withholding
This form may be submitted in lieu of IT-2104, if applicable. - IT-2104.1 State of New York Certificate of Nonresidence and Allocation of Withholding Tax
This form may be submitted in lieu of IT-2104, if applicable. - Casual Employment Agreement
This form does not apply if you are a full-time student at Columbia University or an affiliated institution. - Casual/Temporary Employment Form
- Authorization Agreement for Automatic Deposits
Submit this form, along with a voided check, if you would like to have your paycheck deposited directly to your bank account.
Time Sheets
Time sheet due dates and paydays are indicated on the casual payroll schedule.
For each pay period, you are required to print out, complete, and submit a time sheet, which must be signed by you and your supervisor. Hard copies of the casual payroll time sheet are also available in Room 820 of ISERP's main offices.
Leave your completed time sheet in the folder labeled "Time Sheets" in Room 820 by 5:00pm on the day they are due.
Paychecks and Pay Stubs
Paychecks are generally sent to the department where you first signed up for casual employment, and may continue to be routed to that department even if you are no longer working there. Contact Jennifer Tromski if you wish to have your paychecks sent to ISERP.
If you receive your paychecks at ISERP, they are made available in Room 820 of ISERP's main offices at noon on paydays. If your paychecks are deposited directly, you will still receive a pay stub, which you are obligated to pick up.
